# Overview

The following article will cover the basics around using the Groups feature in Profile.

# Using Groups in Profile

The Groups feature in Profile gives healthcare organisations the ability to create and work with multiple lists of patients. These patient lists can be associated with certain characteristics like disease codes, service codes, prescriptions, notes, and HRI; as well as monitoring requirements; and so forth. Clinics can create these lists by generating either a Dynamic Group, or a Static Group. Once either of these group types have been **Run**, the Groups feature in Profile can help healthcare organisations access patient details, provide visibility, communicate with patients, as well as export and share particular patient information. 

## Benefits for Healthcare Organisations

- Provides visibility for a specific list of patients through a filtered, customisable, presentation. 
- Can utilise communication methods like SMS and email to send adhoc individual messages or bulk text and email  messages.
- Offers the ability to personalise bulk text and email messages using Print Variables and Typing Templates.
- Clinics can access patient information directly from the Groups feature.
- A way to capture and keep track of any high-risk patients that need to be monitored for clinical reasons.
- Allows clinics to export a full list of patients to Excel as a CSV file. 
- Can Geocode patients in bulk.

## Dynamic Groups vs Static Groups

# Feature Overview

## Create a Group

Go to **Work Centre / Clinical / Groups&#xA0;**&#x20;to access the Groups view.

Decide between a Dynamic or Static Group. 

Put the type of group 'in context' by clicking inside either the **Dynamic Groups** or **Static Groups** area. This will change the letter from a 'D' to an 'S' in the **New Static Group** or **New Dynamic Group** button.

### Dynamic Group

Click on the **New Dynamic Group** button to open the **New Dynamic Group** window.

- Change the **Name** of the group. 
- Choose the location of the group, in the **Category** field, by selecting a pre-existing folder to place it in.
- Determine the **Status**,**&#xA0;**&#x61;nd **Privacy&#xA0;**&#x66;ields by selecting the appropriate options in each of the drop-down lists.
- Select the **Owner&#xA0;**&#x62;y clicking on the ellipsis, and making the appropriate selection. 
- Enter in a **Description**,**&#xA0;**&#x69;f needed. 
- Push **OK** to close the **New Dynamic Group** window.

The **Edit...** window will open automatically. All of the details and visual elements for the group will be entered here.

The drop-down lists in th&#x65;**&#xA0;Filter&#xA0;**&#x74;ab will determine who will be captured in the group. Make selections based on the necessary characteristics of the group. 

- Options include **Age**, **Gender**, **Member Of POS**, **Disease Code**, **Service Code**, **Prescription**, **Notes Contain**, and **HRI**.**&#xA0;**&#x45;ach of these options have additional components that help to further define and aid with the query.
- The example below is for a group of female patients over the age of 18. To do this, the clinic must select **Greater than** in the **Age&#xA0;**&#x64;rop-down-list, and enter 18 in the **years&#xA0;**&#x62;ox. Female (**F**) must also be selected in the **Gender** drop-down-list. The required type/status of patients listed in the box on the right of the window must be ticked as well.

The **Presentation&#xA0;**&#x74;ab items will determine how the filtered view of the group will be presented. Clinics can customise the columns they wish to work with for each group. 

- Select any of the items to include or exclude them from the filtered presentation.
- Change the column **Name&#xA0;**&#x6F;r **Width&#xA0;**&#x62;y clicking on either item and entering in the appropriate requirement.
- Click or unclick each of the items to **Autosize&#xA0;**&#x74;he columns view.
- Change the **Justification&#xA0;**&#x62;y clicking on the item and selecting the appropriate position from the drop-down menu.
- Highlight an item and click on the downward or upward arrows to change the presentation order of the columns. Items on the top on the list will be presented on the left, items on the bottom of the list will be presented on the right.

- Press **OK** when the changes are complete.

Click to highlight the name of the group and then click on the **Run** button to start the query.

The previously empty box, at the bottom of the Groups view, should now be populated with the a list of patients associated with the selected characteristics needed for the group. The example below shows all Female patients over the age of 18.

- Follow the same steps from Step 1 in the Dynamic Group section above.

- Follow the same steps as Step 4 from the Dynamic Group section above.

Highlight the newly created Static Group and press the **Add patient to static group&#xA0;**&#x62;utton. Search for the necessary patients to start populating the group.

- Repeat this step until all necessary patients have been added.
- The **Count&#xA0;**&#x63;olumn will indicate the number of patients added to the group.

Press the **Run** button to view the Static Group in the filtered presentation. This will be located at the bottom of the Groups view.

## Modify/View a Filtered Presentation

After a group has been **Run**, it can be seen in a filtered presentation.

1. To modify the filtered presentation view, simply right click the chosen group and select **Edit.&#xA0;**&#x54;his will open the **Edit...** window mentioned in the Create a Group section of this article. 
2. Access the **Presentation** tab and make any relevant adjustments. 
3. Press the Run button in the Groups view. The changes made will now be visible.

## Access Patient Information 

Double left click on a patient's name, in the group list filtered view. This will take users directly to the **Alter Patient** window.

## Communicate with patients 

Clinics can send personalised bulk emails and texts, or individual ad hoc messages to patients, directly from the Groups view. 

### Send Individual Messages

1. Highlight the name of the patient.
2. Click on the **Send Message** or **Email to Patient&#xA0;**&#x62;utton on the main toolbar.

3. Edit the message. Paste any Print variables, or use any Typing Templates that would be helpful, here.
4. Press **Send&#xA0;**&#x77;hen the message is complete.

### Send Messages in Bulk

1. Highlight the patients that require an SMS sent to them.
2. Click on the **Send Message** or **Email to Patient&#xA0;**&#x62;utton.
3. Confirm the patients that require a message sent to them by either ticking/unticking each, or selecting **OK For All**.
4. Edit the message. Paste any Print variables, or use any Typing Templates that would be helpful, here.
5. Press **Send** when the message is complete.

## Export 

Once a group has been **Run**, the group can be Exported as a CSV file and used in Excel.

1. Press the **Full** or the **List** button in the Groups view toolbar. Doing so will either export the **Full&#xA0;**&#x6C;ist of patients, or the **List&#xA0;**&#x6F;f patients displayed.

2. Select CSV from the **Save as type** drop-down list and save the file to the appropriate location.
