q19vn2bhvh09mrpfvkmua introduction acc have now made new connections (api's) available to allow practice management systems to integrate directly with them this will allow for a more efficient and reliable service without needing third parties such as bpac the acc18 (medical certificate) form is now submitted directly to acc using these new connections we have implemented a new acc18 form to support this the overall workflow is largely the same, however we recommend all users who fill out acc18 forms read the user guide section in this document to familiarise themselves with the new form and its features there are also some one off configuration changes required to use the new feature, described in the configuration section with these changes, all old acc cdo forms, including the acc18 are no longer available prerequisites profile v9 0 2 and above before you upgrade, make sure all parked acc18 forms have been submitted configuration to submit acc18 forms using the acc api, the following configuration changes must be made make sure the acc api is set up as described in the configuration section of submitting acc45 forms using direct acc connections (api's) docid\ izm8eg1s5iuoo9ep4nv1a if you are already using profile's eacc45 form, then the required configuration will already be in place remove any existing macro icon pointing to the bpac acc18 form from the main toolbar and the encounter toolbar add the new acc18 standard icon to the main toolbar (optional) configuration items #2 and #3 are described in the steps below alternatively, you can watch this video removing and adding acc18 icons follow the steps below to remove and add the required icons remove old acc18 icon from main toolbar (required) on the main toolbar, click the button and select 'add or remove buttons', then 'customize' the 'customize' window will open drag the acc18 icon from the main toolbar off the toolbar remove old acc18 icon from encounter toolbar (required) in the encounter window, right click on the encounter actions toolbar and choose the 'customize ' option the 'customize' window will open drag the old acc18 icon and drop it away from the toolbar close the 'customize' window add new acc18 icon to main toolbar (optional) on the main toolbar, click the button and select 'add or remove buttons', then 'customize' the 'customize' window will open in the categories list, select form drag the acc18 icon and drop it onto the desired position on the main toolbar add acc18 icon to approvals panel in financial preferences/approval , check the 'show acc18 icon' checkbox for it to appear in the approvals action panel in new encounter this is a global setting clicking this icon will automatically open the new acc18 form after the upgrade user guide creating and submitting acc18 watch the video below for a brief tutorial do not click on the bpac eform button to create an acc18, as that will give you access to the bpac eacc18, which should no longer be used there are several locations to open this form, including in new encounter/approvals , select the acc45 approval that the medical certificate relates to and click the acc18 button this is the recommended workflow, as it will automatically populate the acc45 number and accident date fields from a new encounter, click on the new acc18 button on the main toolbar the acc18 eform will open complete the form by entering the required information click next to move to the next tab once all information is filled out, click send to submit the eform managing acc18 there are several options for managing parked and submitted acc18 eforms work centre eforms manageme nt view this view shows details and status of multiple forms across patients this includes acc45, acc18 and update diagnosis forms you can use filters to help you manage forms effectively, for example, display only 'incomplete' forms medical record eforms view this view shows acc forms for this patient meeting the filter criteria it includes acc45, acc18 and update diagnosis forms encounters view if the acc18 was launched from new encounter , there will be an action added to the encounter you can click on that link to open the parked or submitted form an action link is also added when a change of diagnosis has been submitted general information on successful submission of the acc18, a number will be assigned to it, and an approval will be created in the approvals panel and view, acc45 and acc18 approvals will be shown hierarchically diagnoses are loaded directly from acc when possible if this is not possible, the diagnoses will be loaded from the acc45 approval if more than one diagnosis loads, one must be flagged as ‘principal’ using the checkbox you can enter up to 20 diagnoses and add a comment on any diagnosis if required to set the incapacity/restricted capacity periods set the start and end of a period by dragging the mouse over the relevant days from the calendar a summary of how many days selected will appear while and after setting the period by hovering over the period separate periods will appear as different colours within the calendar any incapacity periods set in a previous acc18 medical certificate for the same accident will appear on the calendar as coloured circles over the days instead of squares click the appropriate button to allocate the selected period to a working status when pressing the fit for some work 1 or fit for some work 2 button, the fit for some work window will appear specify at least one work restriction when pressing the fully unfit for work button, the fully unfit for work window will come open it is mandatory to fill in the field in this window to clear an incapacity/restricted capacity period, click on any day in the period and press the clear button to edit an incapacity/restricted capacity period, click on any day in the period and press the edit button to set a review day, click on the required day on the calendar and press the review button to set a return to work day, click on the required day on the calendar and press the full return to work button in the fitness for work tab, some fields display conditionally, i e depending on other options selected for example, when checking the complications/assistance required box, additional fields display below it we recommend printing any required associated document after submission, to ensure it includes the acc18 number changing diagnoses diagnoses relating to an accident can be changed (added/deleted/modified) from an acc18 medical certificate, if one is required alternatively, if a medical certificate is not required, diagnoses can be changed and sent to acc as described in the steps below alternatively, you can watch the following video in new encounter/ approvals select the relevant acc45 approval and pressing the dx button to open the update diagnosis window update diagnoses as required, i e replace, remove, add or update diagnoses optionally, you can click on the button to add a comment press the send button when finished alternatively, you can perform the above steps from the medical record approvals view validation rules free text fields have a maximum number of characters restriction enforced by acc to avoid errors on submission, profile will not let you type past the number of characters allowed patient address the following fields in the patient’ record, general view, street address panel are mandatory street, city, postal (post code) and country if any of them are missing, an error will come up when sending, listing the fields with no value, e g if any mandatory fields are missing, the form will pick that up and you will be unable to submit it incapacity/restricted capacity periods if you allocate more than 91 days as an incapacity/restricted capacity period, a confirmation prompt will come up press the appropriate button if you have set both a ‘fully unfit’ and ‘fit for some work’ period, there can be no gap between the end of one and the start of the next (even if the gap is a weekend day) the ‘return to normal work’ date cannot be set before the end of the last incapacity/restricted capacity period the 'review' date must greater than today
