## NZ Ministry of Health - HPV Screening

### HPV Screening Care Plan

A new HPV Screening care plan is provided to replace the Cervical Smear care plan that was previously used to record Cervical screening outcomes and manage a patient’s recall date.

Upon importing this new care plan, customers should deactivate the Cervical Smear care plan so it cannot be added to new patients.

The care plan has a single intervention.  The outcomes available in the HPV screening care plan will determine the next recall date for the patients HPV screening.  The recommendation provided by the laboratory will assist in determining the outcome.

A macro is being provided to replace any ‘Open’ Cervical Smear care plans with the new HPV Screening care plan.  Two stored queries are also being provided to assist with any reconciliation of this care plan replacement process. These will need to be imported to Report\Stored Queries:

- Patients with cervical screening careplan.ihq
- Patients with HPV screening careplan.ihq

### HPV Screening included into Capitation export

HPV Screening (which has replaced Cervical Smear) has now been included into the Capitation data export.

### A new HPV Screening order form

In order to support a requirement to provide additional information to laboratories for HPV screening, a new order form for an HPV screen test has been created.  This form is not required for customers who utilize eOrder system provided by Awanui (formerly APHG) Eclair\eOrder system.

In order to use the form, customers will require build 8.8.10 and they will need to import the following jaffa files:

- Form Template - HPV Screening Form 31 08 2023.jfa
- Macro - (HPVFORMRUNMACRO) macro for start HPV Screening form.jfa

This form is accessed by navigating to the New Encounter Action toolbar and clicking the Order Form\HPV Form dropdown button.

The form can be printed or alternatively it can be saved to be completed and printed later.  There are three mandatory fields that must be selected before the order can be printed: Test Type, Test Site and Specimen Type.

Patient and Provider details are populated automatically.

Once printed, the order would accompany the specimen sent to the laboratory.

# Chat

## Font colour changed for the "Not Available" status in Chat

The font colour for the "Not Available" status in Chat has been changed to grey. This has been done in order to better differentiate between someone who is "Busy", and someone who is "Not Available". 

# Email

## Email recipients no longer displayed when an email is opened in EMR/Documents

If an email is opened in EMR/Documents, the recipients of the email are no longer displayed. This helps to eliminate any PHI concerns if a provider is showing the medical chart to a patient.

# Faxing

## eFax cover sheets now have the option to include or exclude footers

eFax cover sheets previously matched the footer controls for all Letter type documents. This has been changed to allow these cover sheets to be independent of the other Letter templates. This provides clinics with the flexibility to either include or exclude the footer from the cover page. This can be done by checking or unchecking the "Add footer on the cover page" checkbox".

## Translations made for the French environment

The new "Add footer on the cover page" checkbox has been translated for the French environments. Translations to "All Categories" references were also completed. This has been done in order to allow for consistency in the French environment.

## SRFax Inward Faxing

SRFax Inward Faxing is available as of Profile version 8.8.10. It enables customers to use SRFax to manage inward faxes, removing the need to have a separate fax machine or service. If the customer has multiple Places of Service, they will need separate SRFax accounts for each Place of Service to manage faxes separately. # Financial

## ACC API Bulk Billing changes

ACC have now made new connections (API's) available to allow Practice Management Systems to integrate directly with them. This will allow for a more efficient and reliable service without needing third parties such as HealthLink. 

ACC Bulk Invoices are now sent using these connections. There are one-off configuration steps that must be completed to use this functionality. # Mental Health

## New NHI number format for New Zealand

The NHI number format has changed to match the new algorithm released in April 2023. The algorithm, in the chart below has now been applied.

# Messages

## Default text items have been translated

Various default text items, for Virtual Care, have been translated in Profile. This has been done to maintain consistency in the French environments.

# Patient Record

## Patient sex and gender improvements

### Modifications made to patient's Sex and Sex at Birth behaviour

In Alter Patient, the ‘Sex’ field is the patient’s legal/administrative Sex identifier. In Canada, the values can be M, F, or U. In Clinical Details, the ‘Sex at Birth’ is clinical information regarding the Sex that the patient was assigned at birth (based on clinical criteria). These are two independent pieces of information. However in Profile, Sex at Birth is updating whenever Sex is changed. This can cause clinical issues as incorrect socio-demographics may not match how the patient presents themselves. This has been resolved by removing this relationship logic.

### Replaced gendered silhouettes with a gender-neutral silhouette

Silhouettes within the Medical Record, have been replaced with a gender-neutral silhouette. Previously, the silhouettes were gendered, and a default silhouette appeared based on whichever Sex was selected. Now, no matter which Sex has been selected, the new gender-neutral silhouette will appear.

### Modified the Gender Identity and Pronoun drop-down default values

When creating a new patient and opening the Clinical Details, the default values for the Gender Identity and Pronouns were either Birth Gender or Normal. A change has been made to the default selection to indicate that this information is not yet set.

### Updates made to the Gender Identity Short Codes

In line with other similar changes, the Gender Identity Short Code Description of 'Normal' was changed to 'Unknown'. Likewise the Code was changed from 'N'  to 'U'.

### Added a new Type for Preferred Pronouns in Short Codes

A new Preferred Pronouns Type has been added in Short Codes, and it is fully configurable to allow for any required changes. 

Configurable default codes have been included, and new items can be added in a similar way to other Short Codes. 

The Preferred Pronouns Short Code fields include, 'Code', 'Pronoun', 'Pronoun Objective' and 'Pronoun Possessive'. Each of these fields includes a free-text box that users can fill in appropriately.
