this topic describes how to use the template designer to create your own invoice formats or statement formats note the template designer is just one of five options for specifying invoice or statement formats refer to setting up invoice and statement formats docid\ s1ek0yz9t25cuk2 cz kk for more information go to maintain / templates on the main menu and open the appropriate template designer for invoice templates, select invoice from the sub menu for statement templates, select statement from the sub menu a list of any existing templates will appear to create a new template, click the template designer will open to modify an existing template, highlight it and click the template designer will open tip when the template designer opens, maximise the window by clicking to delete a template, highlight it and click to export a template to a jafa file, click to import a template from a jafa file, click for a new template, enter a name for the template the name field is in the toolbar of the template designer the designer window may need to be maximised for you to see it by default, the name of a new invoice template will be "new invoice template", and for a statement, "new statement template" you should change this to something more meaningful use the features of the template designer as described below when done, click to save changes template designer features the features for available for designing invoice templates are identical to those for statement templates, except for the data fields main toolbar the main toolbar enables the following operations save changes to the template scan an image into the template area open a graphics file to use as template background image display a print preview show/hide template header area show/hide template footer area edit the general template macro show repeatable data box tick this to show a box where repeating data can be printed (see below) name enter a name for the template data elements information about the invoice or statement being printed is passed to the template through the data elements for an invoice, this includes the patient, the provider, the invoice itself, and each of the invoice lines for a statement, this includes the patient, each of the patient's transactions, and the aged balances select a data element and drag it to the appropriate spot in the template area print variables you can use print variables 2918 htm in the invoice or statement template in the same way you would in a letter template select a print variable and drag it to the appropriate spot in the template area template area this is the area where you design the look and content of the template repeatable data box most invoices and statements will involve repeating lines for invoices, you might want one line per invoice line; for statements, you might want one line per patient transaction since the number of repetitions is variable, you would place these repeatable data elements into the repeatable data box tick the show repeatable data box checkbox in the main toolbar a shaded region will appear in the template area move and resize the shaded region so that it occupies the place where you would like the list of invoice lines or patient transactions to appear drag invoice line data elements or transaction data elements into the shaded region you only need to drag one instance of each data element into the repeatable data box everything in this box will repeat once for each invoice line or patient transaction graphics toolbar the graphics toolbar provides the usual graphics functionality for designing the template this is also where you add text to the template area, using the icon tips to change the font of a text box in the template area, select the text box (left click), then right click and choose font from the pop up menu take care when selecting multiple objects in the template area (for example, when you want to move them together) it is easy to select too many objects, or to miss one out
