The following article is intended for System Administrators, Clinical and Technical users. It will cover the configuration process for Careflow in Profile.

# Steps to Configure Careflow in Profile

## Step 1: Obtain the Required Licenses

### Check if you Have the Required Licenses

To use Careflow in Profile, you need to first obtain the following licenses:

- Rx Dispense and Administer license module

Go to **Organisation / Preferences / Technical / Licensed Modules** to see if the license module has been obtained or not.

Contact Intrahealth at help\@intrahealthc.om to obtain the license number for these modules if it has not been obtained.

### Subscribe to Obtain the Required Licenses

Follow the instructions below to subscribe to the Rx Dispense and Administrator:

Open the license generator.exe application and select the add license option.

The Create new License window will open.

In the **Create new License&#xA0;**&#x77;indow, enter in the following:

1. **Database ID** by copying it fro&#x6D;**&#xA0;Organisation / Preferences / Technical / Licensed Modules**

2. In **Module** select Medications.

Copy the license number and add it in Profile.

Select medications and click **Add Licence**.

## Step 2: Add Careflow to the Work Centre Navigation Menu

For easy access you'll need to add Careflow to the Work Centre navigation menu.

1. Right click on the blue navigation menu.
2. Scroll down to the bottom of the list of items and click on **Preferences**.

3. In the **Work Centre Preferences&#xA0;**&#x77;indow, find and tick **Careflow&#xA0;**&#x66;rom the list of items.

4. Click **OK**. 

## Step 3: Enable Role Actions for Careflow Users

The Careflow role actions need to be enabled for any user of Careflow. Complete the following instructions to enable the Careflow role actions in Profile:

Go to **Organisation / Roles**

Select the User types that require Careflow access

Search for the Careflow role actions in the **Find** search bar.

Grant and enable the Careflow actions for users that need to:

- view the MedChart list
- use and see items in CareFlow
- prescribe and/or administer medications
- be involved in the admission medication reconciliation process
- be involved with any inpatient management and inpatient medication managementThis is done by right clicking the action and select **Grant**. The **Net Actions** column should now show a green circle raised above a hand.

## Step 4: Configure Preferences in Profile

To standardise medication scheduling, certain preferences need to be configured in the Profile **Preferences** window. This is done to ensure that drug administration times align with staffing patterns and shift schedules, avoiding random or inconsistent timings from appearing in Careflow.

By doing this, you can define things like your 'drug rounds' - the expected administration times for medications based on their prescribed frequency - as well as other related settings. For example, if a medication is prescribed twice daily, the organisation defines exactly what that means. 

To configure preferences in Profile, go to **Organisation / Preferences / Scripts and Instructions / Administration&#xA0;**&#x74;ab

**Note:&#xA0;**&#x54;he **Administration** tab only appears if you have purchased Rx Dispense and Administer as a separate sub-licensed module.

Read the table below to understand the functionality of the fields included in the **Administration&#xA0;**&#x74;ab.

| **When no administration time can be determined, use:**          | Enter the required time. This refers to the Careflow view of the Work Centre (Section 3.0). | **Check total administered quantity against order:**<br /><br /> | If this box is checked, the system will compare the total administered quantity against the order, then if the administered quantity exceeds the quantity stated in the order, it will either issue a warning (which can be ignored), or prevent users from continuing, depending on whether the **Warn&#xA0;**&#x6F;r **Prohibit&#xA0;**&#x72;adio button is selected. <br /><br />Note: it is not always possible for the system to calculate the total administered quantity, if the instruction is imprecise or unstructured. For example, it may say: take 'as required' 'until better' |

If all of the steps above have been completed, Careflow should now be configured.
