This article is intended for all users looking to add a new encounter for a patient using hCare.

# Information

1. From Provider Home, under **Patients**, select the patient you wish to add a new Encounter for to open the Patient Home for that patient.
2. Under the Patient menu, tap the **Quick Select **

3. Fill out the details of the Encounter in the information fields as necessary

## General Info

Select the **Date **and **Time **of the Encounter.

Under the **Cases **and **Problems** drop-down menus, you can choose to connect this Encounter to a patient's existing Case or Problem.

## Encounter Notes

Notes can be added for an Encounter by typing in the field.

You can use the iPad to automatically transcribe a voice message into the Encounter Notes by tapping the microphone icon on the keyboard window.

Previously-added Quick Texts can also be inserted into Encounter Notes by tapping

on the right-hand side of the field.

Once an Encounter Note has been added, a prompt will appear on whether you would like to save changes when having to navigate outside the New Encounter screen. ## Photos

By tapping **+ Attach Photo**, you are given the option of **Take Photo **and **Look in Library**. 

Selecting **Take Photo **will open the iPad's camera and upload the photo taken into the Encounter.

Selecting **Look in Library **will open the device's internal storage. Select the chosen image to upload it to the patient's Encounter.

## Measures

Tapping **+ Add Measure **gives a drop-down menu of a list measures that can be recorded set-up by your organisation. Selecting one from the menu will allow you to input the **Value **field. If a mistake is made, tap the

button on the right-hand side of the field to delete the Measure.

## Interventions

Tapping **+ New Intervention** will provide a list of Interventions assigned to the patient. Tap the relevant Intervention, fill out the relevant information and tap **Save**. Once the Intervention has been assigned, tap

on the top-left corner of the screen to return to the New Encounter screen.

## Prescriptions

Tapping **+ New Prescription **will bring up a list of any usual and prior prescriptions from the patient. 

If you wish to create a repeat of a previous prescription, select the prescription in the **Usual Prescriptions **or **Prior Prescriptions** field, or find it by typing it in the search bar. Fill out all the relevant fields and tap **Done **on the top-right corner of the screen to save.

If you wish to create a new prescription, tap **+ Create New Prescription** to open the New Medication screen. Select the relevant medication by typing the name in the search bar, fill out the dosage details and tap **Done** on the top-right corner of the screen.

Once the prescription has been added, it can be printed by tapping **Print **on the top-right hand corner. Tapping the **Send all prescriptions to Pharmacy by Fax **field will send the listed prescriptions to the listed pharmacy when the encounter is complete.

When all necessary prescriptions for the Encounter are added, tap

on the top-left corner to return to the New Encounter screen.

## MedChart (administering a medication)

Tapping **+ New Administration **will bring up a list of all MedChart medications for the patient.

Select the medication that is being administered in the Encounter and tap **+ New Administration **to get to the New Administration Record screen.

Under the **Administration **section on the bottom of the screen, fill out the **Status, Initiation, Dose, Batch **and **Expiry **fields.

Tap **Save** on the top-right hand corner of the screen to add the administration. This will save the administration of the medication to the MedChart record.

Tap

to go back to the MedChart screen and tap

## Information Handout

Tapping **+ Add Information Handout **will bring up a list of all information handouts in the system.

Tap the

icon on the right-hand side of the handout you have given to the patient and tap **Add** on the top-right corner of the screen.

## Forms

Tapping **+ Add Form **will bring up a list of Form templates in the system. Tap the applicable Form template, fill out the required details and tap **Save** on the top right-hand corner, and choose either **Save **or **Save as Incomplete**.

## Letters

Tapping **+ New Letter **will bring up the New Letter screen. 

Tap the **Letter Template** field to begin from a pre-existing letter template

The **Subject **field will be filled in automatically from the Letter Template.

Any further notes can be put in the **Additional text **field

Once all of this is done, tap **Save** in the top right-hand corner, and choose either **Save and Send**, **Save and Print**, or **Save as Incomplete**

4. When all details are filled in, tap

After tapping **Save**, you will be given the option to **Save **or **Save as Incomplete**. If you choose **Save as Incomplete**, you will not be able to further edit the Encounter using hCare, but it can still be edited using Profile.
